Who We Are:

Join SwRI Operations! We connect potential customers to our technical experts. We support Executive Management and the Technical Divisions by assisting with multidivisional efforts, facilitating collaboration, and developing tools/information to improve efficiencies across the Institute.

Objectives of this Role:

• Provide prompt and accurate administrative support to the Operations staff.
• Assist Operations staff by fielding business inquiries using internal (home-grown) search tools and resources.
• Assist with drafting and reviewing correspondence, memos, and informational emails to internal and external stakeholders.
• The position requires to continuously learn about SwRI, our technical capabilities, and technical terminology.

Daily and Monthly Responsibilities:

• Continuously learn about SwRI, our technical capabilities, and technical terminology.
• Interact daily with Operations staff, and occasionally with Division staff and Executive Management staff.
• Make copies, maintain electronic/hard-copy filing systems and databases; create/edit templates, forms, reports, and training documentation.
• Coordinate travel, meetings, schedules, and facilities; process invoices, requisitions, and other SwRI forms; monitor and record inventory of stock and order supplies.
• Recommend, interpret, and/or implement administrative policies and procedures; perform other duties as assigned.

Requirements:

• Requires a high school diploma or equivalent
• 6 years: General clerical experience is required
• Advanced MS Office and Adobe Acrobat experience required
• Must possess excellent spelling, grammar, and punctuation
• Must have good knowledge of general office procedures (e.g., copying, scanning, filing, faxing documents, etc.)
• Must be enthusiastic to respond to a wide range of tasks and challenges with a willingness to learn, grow, and contribute to the success of the organization
• Required to effectively and professionally communicate with staff and potential clients by telephone, email, webinar, and in person to accomplish tasking
• Ability to follow instructions and operate standard office equipment
• Ability to learn new IT systems and databases
• Must be willing to complete tasking outside of the normal day-to-day routine assignments to support the department
• Must be able to work on multiple tasks with frequent interruptions
• Must be able to prioritize tasking and meet deadlines
• Must be able to review project procedures and format processes
• Experience in contracting is beneficial
• A valid/clear driver's license is required
