Review and format technical documents and correspondence while ensuring appropriate division policies and procedures are followed, along with securing approvals; assist with coordinating meetings, client visits, and frequent travel; utilize Institute databases on a daily basis; perform moderate filing and record keeping; mentor junior administrative staff; administer security and government property functions as defined by senior management, which may include document control, visit certifications, clearance documentation, and property inventory; assist and support all levels of internal management and staff as assigned and as needed.
Requires a high school diploma or equivalent. Must have a minimum of 6 years secretarial experience. 2-5 years experience mentoring junior secretarial staff is preferred. Associates degree in related business field is preferred. Proficiency in Microsoft Office Suite to include MS/Word, MS/Excel, and MS/PowerPoint is required; experience using Styles inside of MS/Word is required; familiarity with Adobe Acrobat and MS/Access is required; must possess knowledge of general office procedures; must be able to communicate effectively and interact well with a diverse group of people including all levels of internal management, staff, and clients; must be mature, self-motivated, responsible, and able to work under minimal supervision in a fast-paced, high pressure environment with frequent interruptions; excellent spelling, punctuation, grammar and communication skills is required; attention to detail while multi-tasking is required; ability to exercise good judgment, diligence, and care on details of work is required; must be able to follow written and verbal instructions; must have a good record of attendance and reliability; flexibility and willingness to perform tasks outside of normal duties is required; must have experience with office machines (copier, fax, laminating, and binding); must be able to learn Institute and Division operating procedures in order to complete tasks accordingly; knowledge and experience handling classified material preferred; knowledge and experience preparing physical security documentation preferred. Must pass SwRI Clerical tests. A valid/clear driver's license is required.
This position requires passing the test.
